Credit-card billing-error letter

A written notice disputing a billing error on a credit-card or other qualifying open-end credit account.

Prepared for: The card issuer’s billing-inquiries department

When to use it
  • A statement shows the wrong date, amount, duplicate transaction, or a charge you did not authorize.
  • A payment or return credit was not posted.
  • Goods or services charged to the account were not accepted or delivered as agreed.
Before sending
  • Call the issuer promptly, but do not rely on a phone call alone when the written billing-error process applies.
  • Use the billing-inquiries address—not the payment address.
  • Identify the first statement containing the error and calculate the delivery deadline.
Information to prepare
  • Your name and mailing address
  • Account identifier
  • Transaction date and amount
  • Specific reason the charge is wrong
  • Requested correction
Possible attachments
  • Copy of the statement with the item marked
  • Copies of receipts, return records, correspondence, or delivery evidence
